Problem Overview
Managing your BILLAZZ subscription should be seamless, but issues can arise involving declined credit cards, hitting the usage limits of the free tier, or confusion regarding how to download the tax receipt for your subscription payment.
Subscription management is handled entirely through our secure integration with Stripe. When issues occur, they are typically related to banking blocks on international transactions, expired cards, or attempting to exceed the generous limits provided on the basic free plan.
You can identify these issues if a red banner appears stating "Action Required: Update Payment Method", if the "Create Invoice" button becomes locked with a message about exceeding monthly limits, or if you lose access to premium templates.
Common Reasons
- Bank Fraud Prevention: If you are subscribing from outside the US, your bank may automatically flag and block the transaction as suspected fraud because it is an international recurring charge.
- Expired Cards: The credit card on file has reached its expiration date and the automated monthly renewal failed.
- Free Tier Limits: The Free plan restricts you to generating 5 invoices per month. Once you hit this limit, the system soft-locks the builder until the 1st of the next month.
- Insufficient Funds: At the time of renewal, the linked debit card or bank account lacked the necessary funds to process the charge.
- Multiple Accounts: Users sometimes upgrade an account on one email address, but log in with a different email address and wonder why they are still on the Free plan.
Complete Step-by-Step Solution
1 Check Your Current Plan Limits
Verify if you have actually hit a hard limit or if it's a bug.
Action: Navigate to Settings > Billing. Look at the usage progress bar. If it says "5/5 Invoices Used", you must either wait until the billing cycle resets or upgrade to Pro.
2 Update Your Payment Method
If your card was declined, updating it will trigger an immediate retry.
Action: In the Billing tab, click "Manage Payment Methods". You will be redirected to the secure Stripe portal. Click "Add Payment Method", enter your new card details, and set it as the default.
3 Call Your Bank
If your valid card is repeatedly declined.
Action: Call the number on the back of your credit card. Inform the representative that you are trying to make a purchase for "BILLAZZ INC" via Stripe, and ask them to whitelist the merchant. Attempt the payment again in 15 minutes.
4 Download Your Subscription Receipt
Get the invoice for your accounting records.
Action: Scroll to the bottom of the Settings > Billing page. Under "Billing History", you will see a list of all past charges. Click the PDF icon next to any date to download the official tax receipt.
Tips & Best Practices
Switching from a Monthly to an Annual subscription saves you 20% over the course of the year. Furthermore, annual billing drastically reduces the chance of accidental service interruptions due to expired cards, as you only need to process payment once every 12 months. You can switch to annual billing at any time from the billing dashboard, and we will prorate the cost.
Frequently Asked Questions
- Do you offer refunds?
We offer a 14-day money-back guarantee for all new subscriptions. If you are not satisfied, contact support within 14 days of your first charge for a full, no-questions-asked refund. - What happens to my data if I cancel?
If you cancel your premium plan, your account will downgrade to the Free tier at the end of your billing cycle. Your data is never deleted, but you will lose access to premium templates and advanced analytics. - Can I pay via PayPal or Wire Transfer?
Currently, we only accept major credit and debit cards (Visa, MasterCard, Amex) via Stripe for self-service accounts. Wire transfers are available exclusively for Enterprise annual contracts. - Why was I charged tax on my subscription?
Depending on your billing address, we are legally required to collect local sales tax, VAT, or GST on digital software services. Add your company's Tax ID to your billing profile to apply for reverse-charge exemptions where applicable. - How do I change my billing email?
The receipts are sent to the primary owner's email. To change this, you must change the primary account email in Account Settings.
