When an invoice fails to save, generates as a blank PDF, or is missing crucial customer information, it disrupts your business workflow and delays payment collection. These issues typically manifest when you click the "Save" or "Export" buttons inside the invoice builder.

This problem most commonly affects users who are creating highly customized invoices with lots of line items, or those operating on unstable internet connections. Because our invoice builder relies on a continuous background sync with our cloud servers, temporary desynchronization can result in data appearing on your screen but failing to compile into the final document.

You can identify this issue if the "Save" button remains stuck in a loading state, if a red error banner appears across the top of the builder, or if the downloaded PDF simply lacks the logo or items you just entered.

  • Required Fields Left Blank: Every invoice must have a Client Name, Invoice Date, and at least one Line Item. Missing these will cause a strict validation error on the backend.
  • Browser Local Storage Limit: If your browser's local storage is full from other applications, the auto-draft feature cannot save your current progress, leading to a silent failure.
  • Corrupted Image Uploads: Uploading a logo that is not a standard JPG or PNG, or one that exceeds 2MB, can crash the PDF generation engine and cause the invoice to fail compilation.
  • Template Incompatibility: Certain legacy templates might not support custom CSS blocks that were injected through third-party browser extensions like Dark Reader or Grammar checkers.
  • Stale Authentication Token: If you left the tab open for more than 24 hours without activity, your session may have expired in the background, preventing the save API call from succeeding.

Check Your Connection and Refresh

Before making any major changes, ensure that your internet connection is stable. The BILLAZZ editor auto-saves every 10 seconds, but a dropped connection will halt this.

Action: Manually copy any unsaved long descriptions to your clipboard, then press Ctrl+R (or Cmd+R) to refresh the page. This forces a fresh connection to the server.

Warning: Refreshing without copying text might result in the loss of the last few minutes of typing. Proceed carefully.
Expected Result: The page should reload and the "Save" button should be clickable again.

Validate Required Fields

The system physically cannot generate a valid legal invoice without core accounting fields.

Action: Scan the invoice builder from top to bottom. Ensure that the "Billed To" section is fully populated. Verify that the "Invoice Date" and "Due Date" are not set in the past (unless intended). Check that your line items have both a quantity and a rate.

Expected Result: The "Save Invoice" button should change from a faded gray to a vibrant purple, indicating the form is fully valid.

Remove and Re-upload Logo

If the issue is a blank PDF, the image processing library might be failing on your specific logo file.

Action: Hover over your business logo in the top left of the builder and click the trash can icon. Save the invoice without the logo. If it saves successfully, the logo was the issue. Resize your logo to under 500x500 pixels, convert it to a standard PNG, and upload it again.

Clear Browser Cache

Outdated JavaScript files cached by your browser can conflict with our latest platform updates, leading to silent console errors.

Action: Open your browser settings and clear cached images and files for the last 24 hours. Alternatively, open a Private/Incognito window, log in to BILLAZZ, and attempt to edit the invoice there.

Expected Result: The builder should load perfectly, and saving should take less than 2 seconds with a green success toast notification.

Tips & Best Practices

To avoid rendering issues in the future, always use standard fonts provided in the template dropdown. Avoid pasting text directly from Microsoft Word, as it often carries hidden formatting code that breaks HTML-to-PDF converters. Paste as plain text (Ctrl+Shift+V) instead. Additionally, make it a habit to click the 'Save Draft' button every time you step away from your desk.

  • Why did my total amount calculate incorrectly?
    Check if you applied a discount at the line-item level and again at the subtotal level. Double-discounting is the most common cause of calculation discrepancies. Review the footer of the invoice builder.
  • Can I recover an invoice I accidentally deleted?
    Yes, deleted invoices are moved to the 'Archive' for 30 days before permanent deletion. Navigate to Invoices > Archive to restore it. After 30 days, it is permanently scrubbed from our servers.
  • Why is the client's email not saving?
    The email field strictly enforces standard email validation (e.g., name@domain.com). Ensure there are no trailing spaces after the email address, which commonly happens when copy-pasting.
  • The preview looks fine, but the PDF is wrong. Why?
    The web preview uses CSS, while the PDF engine uses a print-rendering engine. Ensure your browser zoom is set to 100% when generating PDFs.
  • How do I change the default currency?
    Currency is set globally in your Business Profile settings. Changing it there will update all future invoices automatically. You cannot mix currencies on a single invoice.
