Learn how to navigate your analytics, view history, and effectively manage your client database and cash flow.

Problem Overview

The dashboard is your financial command center. Users sometimes report issues where the revenue charts show zero, recent invoices are missing from the activity feed, or the client list fails to synchronize properly after a mass import.

Because the dashboard aggregates massive amounts of data from thousands of potential invoices, it relies on complex caching mechanisms to load quickly. When the cache falls out of sync with the primary database, the numbers you see might be delayed by a few minutes or fail to reflect an invoice you created just seconds ago.

You can identify these issues if your "Total Revenue" widget shows a drastically different number than your actual bank deposits, if the graph lines drop to zero unexpectedly, or if the date filters seem to have no effect on the displayed data.

Common Reasons

  • Invoice Status Exclusions: By design, the dashboard only calculates revenue from invoices marked as "Paid". Drafts, Sent, or Overdue invoices are intentionally excluded from the main income chart.
  • Date Filter Mismatches: If you view the dashboard on the 1st of the month, the default "This Month" filter might legitimately show zero revenue until you generate new invoices.
  • Aggressive Browser Caching: Some web browsers cache API requests to save data. This means the browser is loading yesterday's dashboard data instead of asking the server for today's numbers.
  • Timezone Discrepancies: Invoices generated late at night might fall into the next day's bucket if your account timezone does not match your physical location.
  • Client Import Failures: Uploading a CSV of clients with incorrect column headers will cause the import to fail silently, resulting in an empty client list.

Check Invoice Statuses

Ensure your invoices are actually eligible to be counted in your revenue charts.

Action: Navigate to the Invoices tab. Look at the status pills next to your highest value invoices. If they say "Draft" or "Sent", you must open them and manually click "Mark as Paid".

Expected Result: Once marked as Paid, the dashboard revenue widgets will instantly recalculate and display the updated figures.

Adjust Date Filters

The data might be there, just hidden outside the current date range.

Action: On the top right of the dashboard, click the date dropdown. Change it from "This Month" to "All Time" or select a Custom Range that covers the entire year.

Force a Cache Sync

Bypass the browser cache to pull fresh data directly from the BILLAZZ servers.

Action: Go to Settings > Preferences. Locate the Timezone dropdown and ensure it exactly matches your current geographical location, not just a similar GMT offset.

Warning: Changing the timezone will shift historical graph data by a few hours, which might alter the appearance of past monthly reports slightly.

Use the "Insights" toggle on the dashboard to quickly switch between Gross Revenue (everything billed) and Net Income (everything actually paid).   • Can I customize which widgets appear?
    Dashboard customization is a Pro-tier feature. Pro users can drag and drop widgets, remove unused charts, and pin specific client metrics to the top.
  • What happens to my analytics if I delete a client?
    Deleting a client does not delete their paid invoices. Your historical revenue charts will remain accurate, but the client name will show as 'Deleted User' in the ledger.
